Meeting rooms that earn their keep

Most meeting rooms are booked twice as often as they are used. A few small operational changes fix the utilisation problem.

When we audited a typical week last year, 41% of booked room-hours went unused. Members block time defensively, plans change, and nobody thinks to release the slot.

Auto-release unclaimed bookings

A room that has not been checked into within ten minutes returns to the pool and the member is notified. Reclaimed hours went from zero to roughly six a day almost immediately.

Right-size the inventory

Two-thirds of bookings were for four people or fewer, yet most of our rooms seated eight. Converting two large rooms into four huddle spaces raised total capacity and cut the average wait for a room to under an hour.

Make the default thirty minutes

Booking systems default to an hour because calendars do. Changing the default halved the average booking length with no measurable complaint.
